Booking Terms & Conditions
These terms apply to the Youth Adventure Programme taking place from 13 July to 1 August 2027. Please read them carefully before confirming a booking.
1. The Organiser
The programme is organised by Wildfoot Adventures Safaris CC, registration number CC/2022/02587, Namibia Tourism Board registration number TSO01742.

Contracts and booking confirmations may be issued on behalf of Wildfoot by Colandri Reyneke.
2. Booking and Confirmation
Bookings are made directly with Wildfoot by email or through an official Wildfoot Google Form.
Submitting an enquiry or application form does not automatically confirm a place.
A booking is confirmed only once:
- Wildfoot has accepted the participant in writing;
- the parent or legal guardian has accepted these terms;
- the required forms and information have been provided;
- the required deposit has cleared in Wildfoot’s bank account; and
- Wildfoot has issued written booking confirmation.
3. Programme Dates, Price and Group Size
- Dates: 13 July–1 August 2027
- Duration: 20 days
- Route: Windhoek to Victoria Falls
- Age: 14–18 years
- Minimum group size: 4 participants
- Maximum group size: 15 participants
- Programme price: N$92,000 per participant
- Flights: Not included
The exact Windhoek meeting point and time, and the Victoria Falls handover point and time, will be provided in the final travel information.
The programme price is fixed once the booking has been confirmed.
4. Minimum Participant Numbers
The programme requires a minimum of four confirmed participants. Wildfoot will make the final minimum-group decision by 31 March 2027.
Where fewer than four participants have booked, Wildfoot may consider operating the programme by special agreement but is not obliged to do so.
If the programme is cancelled because the minimum number has not been reached, parents may choose between an available replacement programme, a voluntary credit or a refund of programme payments received.
Parents are advised not to purchase non-refundable flights before Wildfoot confirms that the programme will proceed.
5. Deposit and Payment Schedule
- Total programme price: N$92,000
- 25% booking deposit: N$23,000
- Remaining balance: N$69,000
- Final payment date: 14 May 2027
For bookings accepted on or after 14 May 2027, the full programme price is payable when the booking is accepted.
Instalment arrangements may be approved in writing. Unless otherwise agreed, the full amount must still be received by 14 May 2027.
6. Payment Method and Bank Charges
Payments must be made by electronic funds transfer or international bank transfer into the account shown on Wildfoot’s official invoice.
Card payments are not accepted.
All bank charges, intermediary-bank fees, currency-conversion costs and international transfer fees are for the parent or guardian’s account.
Wildfoot must receive the full invoiced amount in Namibian dollars. Any shortfall caused by bank charges or currency conversion remains payable.
Payment is regarded as received only when cleared funds reflect in Wildfoot’s bank account.
7. Late Payments
If payment is not received by the due date, Wildfoot will send a written reminder and allow seven calendar days for the outstanding amount to be paid.
If payment remains outstanding after the seven-day period, Wildfoot may suspend or cancel the booking.
Any cancellation charge will be calculated according to the cancellation terms applicable on the date the booking is cancelled.
8. Cancellation by the Parent
Cancellations must be submitted in writing to cola@wildfootadventuresafaris.com.

Cancellation charges are intended to reflect costs already incurred or committed and Wildfoot’s ability to resell the place.
Where Wildfoot’s actual non-recoverable loss is lower, or the place is successfully resold, Wildfoot may reduce the cancellation charge.
9. Replacement Participant
A parent may propose another suitable participant to take the place of a participant who can no longer attend.
The replacement is subject to:
- the programme’s age requirements;
- Wildfoot’s suitability assessment;
- completion of all required documents;
- supplier and border requirements;
- sufficient time to arrange the transfer; and
- payment of any reasonable additional costs.
10. Cancellation or Changes by Wildfoot
Wildfoot may cancel or change the programme where necessary because of safety concerns, weather, road conditions, wildlife activity, border restrictions, supplier issues, vehicle problems, public-authority instructions or other unavoidable circumstances.
Where Wildfoot cancels the programme, parents may be offered:
- a suitable replacement programme;
- a voluntary credit; or
- a refund of programme payments received.
Where possible, unavailable activities, campsites or services will be replaced with reasonably comparable alternatives.
If a significant part of the programme cannot be provided, Wildfoot will arrange a suitable alternative where reasonably possible or provide an appropriate price reduction or refund for the affected service.
11. Participant Suitability and Disclosure
The programme includes camping, long-distance road travel, physical activity, wildlife environments, remote areas and group living.
Parents must disclose any medical, behavioural, emotional, dietary, mobility, medication or support need that may affect the participant’s safety, wellbeing or ability to take part.
Wildfoot may refuse or condition a booking where the participant’s needs cannot safely or reasonably be accommodated within the nature and resources of the programme.
A participant will not automatically be refused because of a medical condition, disability or support need.
12. Participant Conduct
Participants must follow reasonable instructions, remain with the group, respect other people and property, use safety equipment correctly and comply with campsite, vehicle and activity rules.
The following are prohibited:
- alcohol;
- illegal drugs;
- smoking and vaping;
- violence, threats, bullying or harassment;
- theft or deliberate property damage;
- leaving the group or campsite without permission;
- dangerous behaviour around wildlife, vehicles, water or fires;
- weapons or dangerous prohibited items; and
- serious or repeated refusal to follow safety instructions.
13. Mobile Phones
Participants may bring mobile phones, but their use may be restricted during activities, safety briefings, meals, educational sessions, group discussions and at night.
Wildfoot may temporarily hold a device where necessary for safety, participation or group wellbeing.
Parents should not expect continuous direct contact, particularly in areas with limited network coverage.
14. Removal from the Programme
Wildfoot will ordinarily use warnings, parent contact, temporary exclusion from an activity or a behaviour agreement before removing a participant.
Immediate removal may occur where conduct creates a serious or immediate safety risk.
Parents are responsible for reasonable additional costs resulting from removal, including transport, accommodation, supervision, changed flights, repatriation or collection.
No refund is ordinarily due for unused services where a participant is removed because of serious misconduct.
15. Travel Documents and Parent Responsibilities
Parents are responsible for arranging and paying for:
- international and regional flights;
- valid passports;
- Namibia and Zimbabwe visas;
- transit visas where required;
- parental travel consent;
- birth certificates and certified translations;
- personal travel and medical insurance;
- medication and supporting documents;
- timely arrival in Windhoek; and
- collection or onward travel from Victoria Falls.
Wildfoot may provide general guidance but cannot guarantee that a participant will be admitted by an airline, border authority or country.
16. Late Arrival or Missed Departure
Participants must arrive at the agreed meeting point by the stated time.
If a participant arrives late or misses the group departure, Wildfoot will make reasonable efforts to help the participant join the group but cannot guarantee that this will be possible.
All additional transport, accommodation, supervision, meal and flight costs will be for the parent’s account.
17. Mandatory Personal Travel Insurance
Every participant must have comprehensive personal travel insurance covering Namibia, Botswana where applicable, Zimbabwe and the complete travel period.
The policy must provide appropriate cover for:
- emergency medical treatment and hospitalisation;
- road and air evacuation;
- medical repatriation;
- trip cancellation, interruption and curtailment;
- scheduled programme activities;
- pre-existing conditions where relevant;
- personal liability;
- luggage and personal belongings; and
- a 24-hour emergency-assistance service.
Wildfoot may refuse participation where suitable proof of insurance has not been provided.
18. Medical Treatment and Emergency Costs
Parents must complete a separate medical and emergency-authorisation form.
Wildfoot will make reasonable efforts to contact the parent before non-routine medical treatment is arranged.
Where delay could place the participant at risk, the parent authorises Wildfoot to obtain medical advice, arrange treatment, transport the participant to a medical facility, contact the insurer and arrange emergency evacuation.
Where urgent action is required, Wildfoot may advance reasonable emergency expenses on the participant’s behalf. The parent agrees to reimburse properly documented costs not paid directly or reimbursed by the insurer.
19. Medication and Activity Restrictions
Parents must disclose all medication and provide it in original labelled packaging with clear written instructions.
The parent and Wildfoot must agree whether medication will be self-administered, carried by a programme leader or supervised by a programme leader.
Wildfoot or an activity provider may exclude a participant from an activity for health, safety, conduct, weather, equipment or supplier reasons.
Exclusion from one activity does not automatically create a right to a refund where the decision was reasonably made for safety or conduct reasons.
20. Complaints
Concerns arising during the programme should be reported to Colandri Reyneke as soon as reasonably possible so that Wildfoot has an opportunity to investigate and resolve the matter.
Formal complaints after the programme should be sent to cola@wildfootadventuresafaris.com within 14 days after the programme ends.
Wildfoot aims to acknowledge formal complaints within seven business days and provide a substantive response within 21 business days.
21. Governing Law and Disputes
The booking contract is governed by the laws of Namibia.
This does not remove any mandatory consumer protection that may legally apply to a customer living in another country.
Before court proceedings are started, the parties should first attempt to resolve the dispute through a written complaint, good-faith discussion and voluntary mediation where both parties agree.
22. Personal Information and Data Sharing
Wildfoot may collect and process personal information required to manage the booking, travel arrangements, participant safety, border requirements, insurance assistance and emergency response.
Relevant information may be shared where necessary with:
- border and immigration authorities;
- accommodation providers;
- transport and activity providers;
- insurers and emergency-assistance providers;
- doctors, clinics and evacuation providers; and
- public authorities or professional advisers where legally required.
23. Document Retention and Photographs
Medical, dietary, medication, passport, visa and parental-consent copies will ordinarily be deleted or securely anonymised within 90 days after the programme, unless they are required for an incident, complaint, insurance claim or legal obligation.
Accounting and invoice records will be retained for the period required by law.
Promotional photographs and videos require separate opt-in consent. Refusing promotional media consent will not affect participation or price.
24. Acceptance of the Terms
By signing the booking form or accepting these terms electronically, the parent or legal guardian confirms that they:
- have read and understood the terms;
- are authorised to make the booking;
- will provide accurate participant information;
- accept responsibility for the payment obligations;
- understand the nature of the programme; and
- will ensure that the participant follows the programme rules.
